Thank You for the Referral: 10 Work Messages

Thank the introduction before you know its outcome. A referral is useful work even when it does not become a sale or a hire.

Separate the introduction from the outcome

“Thank you for introducing us. Your note about the project helped me prepare, and we have a call arranged.” You can send that before a deal closes or a hiring decision happens. It recognises the work the referrer actually did.

These sample messages are fictional and cover customer, candidate and internal referrals. Choose the relevant situation and replace the details. For a personal reference or endorsement of your work, use recommendation thank-yous.

Close the loop without sharing private information

A referrer should not need to follow up repeatedly to learn whether you received the introduction. Confirm receipt, take ownership of the next contact and send a later update if appropriate. “We have spoken and will take it from here” can be enough.

Candidate feedback, contract values and customer requirements may be confidential. Keep them out of a public recognition post. You can thank the quality of the introduction without revealing the information that made it valuable.

10 messages you can send

  • Thanks for introducing me to the facilities team. Your explanation of what they needed gave us a useful starting point for the call.

    After a customer introduction

Credits the context rather than assuming a sale.

  • I appreciate you asking before passing my details on. The introduction was welcome, and we’ve arranged a conversation for next week.

    On a considerate introduction

Recognises consent and gives a modest update.

  • Thank you for referring someone for the role. The recruiting team will handle the next steps, and I appreciate the care you took with the introduction.

    To an employee referrer

Acknowledges the help without promising preferential treatment.

  • Your note about the project helped me prepare for the first call. Thanks for including the background instead of just forwarding an email address.

    On a useful handover

Names the preparation behind the referral.

  • Thanks for thinking of our team. The timing isn’t right for this project, but the introduction was relevant and I appreciated it.

When the opportunity does not proceed

Closes the loop without treating the referral as a failure.

  • We’ve now agreed the first workshop. Thank you for the introduction that started the conversation.

    After a confirmed next step

Reports only what has actually happened.

  • Thank you for connecting the two teams directly. That saved me from guessing who owned the request.

    An internal referral

Recognises a useful connection within the organisation.

  • I appreciated the way you described our work accurately, including what we don’t provide. The first conversation began with sensible expectations.

    On an honest recommendation

Thanks accuracy rather than exaggerated promotion.

  • Thanks for sending the opportunity my way. I’ve replied to the person you introduced and will take it from here.

    Short response

Confirms that the recipient no longer needs to coordinate.

  • The introduction led to a project we can support well. Thank you for noticing the fit and taking the time to connect us.

After a suitable project is agreed

Credits judgement, with no invented revenue figure.

What makes one land

  • Thank the person promptly, then send one relevant update when there is an outcome you can share.

  • Keep candidate decisions and customer details private unless sharing is authorised.

  • Use the official referral scheme for any reward; avoid promising a bonus in a thank-you.

  • Do not imply that a referral guarantees selection, a contract or an interview.

Questions people ask

How do you thank someone for a business referral?

Acknowledge the introduction and the context they provided. Tell them the next confirmed step, such as a booked conversation, without predicting the result. A short later update closes the loop.

Should I thank a colleague if the referral goes nowhere?

Yes. They still spent time making a relevant connection. You can say the timing or fit was not right without disclosing private details or making them feel responsible for the outcome.

Can I mention a referral bonus?

Only refer to the organisation’s existing scheme and its actual rules. Selection and reward decisions belong in the formal process. The thank-you should not create a new promise or suggest the candidate receives special treatment.
